Tenant Fact Sheet - everything you need to know about renting with Harvey Scott
NOTE: Collectively your annual provable (salary or pension) income must be in excess of 30x the monthly rent.
Relevant letting fees and tenant protection information (Housing Act Tenancies Only):
As well as paying the rent, you may also be required to make the following permitted payments.
Permitted payments
Before the tenancy starts (payable to Harvey Scott ‘the Agent’);
- Holding Deposit: Equivalent to 1 week’s rent
- Deposit: Equivalent to 5 weeks’ rent
During the tenancy (payable to the Agent);
- Payment of £50 if you want to change the tenancy agreement
- Payment of interest for the late payment of rent at a rate of 3% above base rate
- Payment for the reasonably incurred costs for the loss of keys/security devices
- Payment of any unpaid rent or other reasonable costs associated with your early termination of the tenancy
During the tenancy (payable to the provider) if permitted and applicable;
- Utilities – gas, electricity, water
- Communications – telephone and broadband
- Installation of cable/satellite
- Subscription to cable/satellite supplier
- Television licence
- Council Tax
Other permitted payments;
Any other permitted payments, not included above, under the relevant legislation including contractual damages.
Tenant protection;
Client Money Protection is provided by Propertymark. Redress Service is provided by The Property Ombudsman. You can find out more details by contacting us directly.
Note: VAT is always included in the quoted price. Holding Deposits are non-refundable should an applicant choose not to proceed or if your application is declined should we find something in your background checks that you have not declared on your application.
Non-Housing Act Tenancies will incur different scale of fees which are available on request.
Application Forms:
The application process cannot begin until the form has been completed, in full online and all of your supporting documents have been received (see below). Upon receipt of your application fee Harvey Scott will send you a Tenant Application Form (and, if required, a Guarantor Application Form) via email for you to complete online. Every person moving into the property aged 18+ will need to be referenced whether in employment or not. Each applicant will need to have a valid personal email address to complete their application form. Paper application forms can be provided upon request but will slow the process. It is essential that all information given on the form(s) is accurate as any knowingly false claims will result in your application being automatically declined.
Supporting Documentation:
In addition to your application form(s) we will require;
- Photographic ID for each applicant (and guarantor if required) which must be;
- A Passport or a photo-card driving licence and birth certificate (UK citizens only)
- For non EU citizens we will also require an in date residency VISA (see Immigration Act note below)
- Three month’s bank statements for every tenant over the age of 18.
- Proof of address: Utility bill or bank statement dated in the last three months
- Self-employed applicants will be required to provide three years of audited accounts through your accountant/bookkeeper. You must submit all documents within 5 working days of paying your administration fee or your application may be declined.
- You may also be asked for wage slips to support your income statement.
Immigration Bill:
In order to comply with the latest immigration regulations we will require all non-UK applicants to allow us sight of their in-date passport. For non-EU applicants we will also require a copy of an in-date residency visa and should the visa run out during the tenancy we must have sight of a renewed visa. Failure to fulfil this requirement will result in the Home Office being notified.
Guarantor:
Depending on circumstances, we may require tenancies to be supported by a Guarantor. The guarantor would need to be a homeowner in England or Wales with an income in excess of 36x the monthly rent through work or pension. A tenants guarantor undertakes to pay any rent and/or damages to the Landlord should the Tenant not be in a position to do so. Harvey Scott appreciates that everybody’s situation is different and this will be looked at on an individual basis.
Tenancy Deposit:
Every tenant is required to pay a deposit on the home of their choice before keys are handed over. This is equivalent of five week’s rent. Please note: Your deposit CANNOT be paid by credit card and must be paid by cleared funds before the tenancy can commence.
Pets:
If you have a pet, this MUST be declared upon applying for the property as the Landlord will need to be informed and you will be required to sign a pet’s disclaimer before keys are handed over. Failure to declare a pet is a clear breach of your tenancy.
Tenant Shop - Utilities Management:
Harvey Scott has partnered with Tenant Shop to streamline your registration process with the local council, water supplier and energy provider. Once you have passed referencing Tenant Shop will notify all the necessary organisations with your contact information, moving in date and meter readings where applicable. We will ask Tenant Shop to contact you on our behalf by Text, Phone and/or Email to offer you Energy, Insurance and Media comparisons for your new Tenancy. Call Centre comparisons are completely optional for you (the tenant) and you can opt out at any time by emailing customerservices@mytenantshop.co.uk.
Tenants’ Insurance:
Please note that Harvey Scott require tenants to have Accidental Damage cover for all of our tenancies. This will cover the landlord’s property that he is unable to insure himself as you will be the occupant(s) of his property. Tenant Shop will be able to assist you with this if required.
Rent Due Date:
Managed - All rents are due on the first day of each month. Please be aware that if you are moving into a property on or after the 21st of the month you will be required to pay a pro-rata amount of rent from the date you move in plus the next full month’s rent (excludes tenants who pay whole of tenancy term in advance).
Let Only - If the property is managed by the landlord rather than Harvey Scott you will pay one month’s rent with the next and future rent payments being due on the same date for a subsequent months – subject to change by landlord’s agreement. Further Details about Your Tenancy: The minimum tenancy period is six months. At the end of your contract there may be a chance to renew at the Landlords’ discretion. You will be responsible for paying Council tax, all utilities (gas, electric, water) and TV Licence.

Please ensure you keep Harvey Scott up to date of any changes to your contact details throughout your tenancy including email and telephone numbers.
The minimum tenancy period is six months. At the end of your contract there may be a chance to renew the agreement at your landlord's discretion. You will be responsible for paying Council tax, all utilities (gas, electric, water) and TV licence unless included in your let.
Please note that we DO NOT accept payment by credit card or pre-payment card. Ideally, we prefer payment by BACs – please contact the office for details.
